Most problems in a small company are tolerated because nobody has ever put a number on them. Pick the way this one costs you, answer a handful of questions, and see what another year of it comes to.

  • One problem, named plainly
  • How often it happens and who it pulls in
  • A loaded hourly cost, or an average sale and a gross margin
  • Estimates are fine. Being roughly right beats not counting it

Cost one pain point

Name the problem

Write it the way you would say it out loud, not the way it would appear in a report. "Crews go back to finish jobs that should have been done once" beats "quality control deficiency".

How it costs you

Pick the one that fits best. A problem can hurt in more than one way, but costing it twice makes the number useless, so count the main one.

Put numbers on it

Answer what you can. A blank counts as zero, so a partial answer gives you a floor, not a wrong number.

Direct Cost & Waste

How many employees or resources touch each occurrence?

Average time each person spends because of this.

Wage plus payroll burden if known; otherwise a reasonable loaded estimate.

Materials, consumables, scrap.

Travel, fuel, outside service, refunds, fees.

Any separate recurring cost not already included.
